If you choose to register a payment method with us, you may also be given an option to store this information securely for ease of future booking or to process any refunds which may be required. This information is stored in an encrypted format.
How we collect your personal data
We may collect personally identifiable information about you via any enquiry and registration forms you submit to us online by email, via the contact form on our website, or when you book a service with us by phone or email or via our online booking system, or any further details you provide to us over the phone, via text, email, zoom, social media or in person.
We may receive personal data about you from publicly available sources based inside the EU such as Companies House and the Electoral Register.
We may also receive personal data about you from third parties providers based outside the EU (for example analytics providers or search engines such as Google or advertising networks such as Facebook or providers of technical, payment, booking and delivery services such as Acuity, Calendly, Xero or Mailchimp). Our website and some of the third party providers we may use operate with the use of Cookies (see below).
How we process and use your personal data
We process your personal data in order to communicate with you, to supply the goods and/or services you have purchased, to keep records of such transactions and to meet our legal obligations on client record keeping, to facilitate the operation, publication, administration, backing-up and security and protection of our website and other online services and business. We also process your personal data to analyse your use of our website and other online services, so we can deliver relevant website content, information about our products and services, promotional offers and other marketing communications to you and also understand the effectiveness of our marketing. We are legally entitled to send you marketing communications where you have purchased or enquired about our goods or services or expressly agreed to receive such communications, but you are free to opt out of receiving such communications from us at any time by email to wellness@calmer-chameleon.co.uk.
We may process your personal data without your knowledge or consent where this is required or permitted by law.
Lawful grounds for processing your data
We process your personal data in order to reply to communications sent to us, to keep records, to enter into and perform any contract with you, to properly administer our website, social media pages and business, to develop our products and services and to decide our marketing strategy and grow our business. In case we need to use your details for an unrelated new purpose we will let you know and explain the lawful grounds for doing so.
What is sensitive personal data and what sensitive personal data do we collect about you
We also collect Sensitive personal data from you (via your Consultation Form and online/telephone/ in person consultations and treatments). Sensitive personal data includes but is not limited to details about your past and present physical, mental, emotional health and wellbeing, your medical history, sex life, sexual orientation, information about your health and genetic and biometric data, your age, height, weight and other personal information including what you eat, what work you do, your lifestyle and exercise. We do not collect any information about criminal convictions and offences.
All sensitive personal data we collect from you is needed to enable us to obtain a deep understanding of your overall health and wider life situation so that we can provide you with the best possible holistic wellbeing services.
We require your explicit consent to process sensitive data, which you are assume to be giving by submitting or providing your sensitive personal data to us during the course of your consultations and treatments, and signing your consultation form.
Updates to your personal data
It is important that the information we hold about you is accurate and up to date. Please let us know if at any time your personal information changes by emailing us at wellness@calmer-chameleon.co.uk.
How we store your personal data
We will do our best to ensure that all personal data we hold about you stays safe and will continue to monitor our processes and procedures to ensure they are protecting your information as well as possible. All hard copy forms and data held about you is filed in a locked cabinet at our premises. All forms and data submitted online are held in password-protected and encrypted folders. These files will be confidentially destroyed after 6 years of your last treatment with me. We have procedures in place to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach in accordance with any legal requirements upon us.
Sharing your personal data with third parties
We may be required to share your personal data with our service providers, professional advisers or government bodies but any such third parties will be required to treat your personal data confidentially and process it securely.
Many of our third parties service providers are based outside the European Economic Area (EEA) so their processing of your personal data will involve a transfer of data outside the EEA. By submitting your personal data, you agree to this transfer, storage and processing. Countries outside of the European Economic Area (EEA) do not always offer the same levels of protection to your personal data. We will do our best to ensure your data is treated as securely as possible but you are aware that any transmission of data via the internet cannot be guaranteed to be entirely secure.
We will not share your personal data with any other third party without your express consent. You can ask us or third parties to stop sending you marketing messages at any time.

Our website and services may include links to third-party websites, plug-ins and applications for scheduling, booking, payment and other purposes. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy and cookie policies. We recommend you read their privacy and cookies policies before you submit any personal data to these websites.
How long do we keep your personal data
We will only retain your personal data for as long as is necessary to provide the goods or services you have purchased from us and to satisfying any legal, accounting, or reporting requirements upon us. For tax purposes we are required to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they stop being customers. For insurance purposes we need to hold client data is for seven years.
Your rights in relation to the personal and sensitive personal data we collect, store and process about you
You have the right to request access to your personal data, to request the correction, deletion, restriction or transfer of your personal data and to object to the processing and portability of data and to withdraw your consent to us processing your sensitive personal data. If you wish to exercise any of these rights, please email us at wellness@calmer-chameleon.co.uk. There is no fee payable for you to exercise these rights. However, if your request is clearly unfounded, repetitive or excessive, we may charge a reasonable fee or refuse to comply with your request. We try to respond to all legitimate requests within one month but will let you know if it will take longer. We may need to ask you for specific information as a security measure to confirm your identity and to speed up our response.

Please note that where you do not provide us with any required or requested personal data, ask for the deletion, restriction or transfer of any information we hold or object to the processing and portability of data, this might adversely impact our ability to provide the best possible holistic wellbeing services to you and might result in us having to cancel a product or service you have requested or ordered. We will let you know if this is the case.
